The Problem

  • The client had a vast amount of employee records, which were being stored as physical paper archives.
  • Paper archives were held across four UK offices in London, Glasgow, Walsall and Leeds.
  • Identification and location of documentation was expensive and time consuming.
  • DSAR requests were costly and time consuming to complete
  • Document retention policies were difficult and complex to administer

What We Did

 

  • Scanned all of their old HR files (over 540,000 documents), to create a digital archive hosted on a customisable HR platform.
  • Continue to support the client in the digitisation of their HR records – all documents are sent to Flow AI for scanning, indexing and upload into the system on a monthly basis.
  • Provide a Document Archive – with physical copies of all files kept for 6 months.
